Information about the University Computer Centre’s Jitsi Conference Tool

By providing the conference tool ‘Jitsi’, the University of Greifswald provides access to a local web conference tool. This can be used for holding university meetings and consultations, as well as classes, seminars etc. as audio or video web conferences, also providing the opportunity to share desktops.

Personal data is collected when using the conference tool ‘Jitsi’. The protection of your personal data is very important to us. We therefore not only treat your data extremely confidentially, we also take your right of information on the collection of the data very seriously. By providing the following information, we are complying with Art. 13 of the EU’s General Data Protection Regulation (GDPR), which defines information duties for the collection of personal data:

Personal Data

We will process the following personal data:

  • Technical protocol and user data: IP address, URL, image and audio data
  • if you have registered previously: username
  • if you are using the service without registering: Name of participant

Forms of Processing:

We will gather, collect, save, use, delete and destroy your data.

Purpose of Processing:

Your personal data shall be processed to improve internal and external communication. The ‘Jitsi’ conference tool makes it possible to hold web conferences for up to 35 participants. This local solution makes it possible to hold web conferences outside of the central DFNconf solutions (Pexip and Adobe Connect) that are considerably overloaded at peak times.

Legal Basis

The legal basis for the processing is defined in Art. 6(1) lit. e GDPR (performance of a task carried out in the public interest) in combination with § 6(2) Statute on Data Protection (processing of data required for user identification and operations in the teaching and learning environment) and § 8(6) URZ Regulations (processing of traffic and connection data from communication services).

Recipient and Storage of your Personal Data:

All of the participants receive access to the password-protected web conference via an individual link. Web conferences or individual sequences are not permanently recorded, instead we only temporarily store the audio and video data streams due to technical reasons. Technical protocol data (IP address, URL) is deleted after seven days at the latest. Your details will not be forwarded to third parties.

Your Rights

You have the right to receive information upon request and free of charge about your stored personal data, its origin and recipient, the purpose, and the length of data processing. Furthermore, under certain circumstances, you have the right to the correction, limitation of the processing (e.g. blocking), deletion, and the data portability of your data. You have the right to object to direct marketing and the processing of your data, which is regulated by Art. 6(1) lit. e and f GDPR. If you would like to exercise your right to object to the processing of your personal data, we ask you to inform us of the reasons that apply to your particular situation so that we can perform an investigation into the balance of interests in accordance with Art. 21(1) sentence 2 GDPR.

In addition, you also have the right to submit a complaint to the responsible supervisory authority for data protection, if, in your opinion, your details are not being processed in a lawful manner. The supervisory authority is:
